6.1.1 Search by text

- Open Search.
- The Text filter is selected by default in the search box.
- Select the second filter in the search box's second field:
- Contains;
- Does not contain.
If you select Contains, the system searches for files where the text contains all the words specified in the query. In this case, the sequence of words in the text of the file coincides with that entered by the user.
When the Does not contain condition is selected, the system searches for files where the text does not contain at least one of the words specified in the query. In this case, the sequence of words doesn't matter.
By default, the Contains condition is set. - Select Synonyms to find files not only by the word you’ve entered, but also by its synonyms.
File.one uses wordforms by default in search queries. If you want to search by exact phrase, select this option in the filter. - In the second field, select the Case-sensitive option if you want to search by the word, in the exact case as entered.
Note: the function works only with the keyword, and does not work with synonyms and word forms. - Enter your search query in the third field.
- The system will automatically display matching results.
- If the required file is not found, you can refine the search query by creating a more complex search term. To do this, click the Add Search Condition button, select the AND or OR parameters and additional search filters.
6.1.2 Search by content
- Open Search.
- Click on the first field of the search parameters and select Content from the drop-down menu.
- Select an additional filter in the search box's second field:
- Full name (search by full name);
- Phone Number (search by phone number);
- E-mail (search by email address);
- Date (search by date);
- Currency (search by currency);
- Heading (search by heading);
- Organization (search by company);
- Locality (search by location).
- In the third field of the search box, select one of the search conditions. These parameters change depending on the additional filter selected in the second field.
For filters Full name, Heading, Organization, Locality the following conditions are provided:
- Contains;
- Does not contain.
For filters Email, Phone Number:
- Is;
- Is not;
- Start with;
- End with;
- Contains;
- Does not contain.
For filters Date, Currency:
- Is;
- Is not;
- After;
- Before;
- In the range;
- Out of range.
Select Synonyms to find files not only by the word you’ve entered, but also by its synonyms.

Note: when you select the Content filter and the additional Currency filter, a currency selection drop-down menu appears.
Note: the Locality filter only supports cities and towns located in the Russian Federation.
6.1.3 Search by file name
- Open Search.
- Click on the first field of the search parameters and select File Name from the drop-down menu.
- In the second field, select one of the search conditions:
- Is;
- Is not;
- Start with;
- End with;
- Contains;
- Does not contain.
Is is selected by default. - Enter your search query in the search box.
- The system will display matching results automatically.
- If the required file is not found, you can refine the search query by creating a more complex search term. To do this, click the Add Search Condition button, select the AND or OR parameters and additional search filters.
6.1.4 Search by file type
- Open Search.
- Click on the first field of the search parameters and select File Type from the drop-down menu.
- In the second field, select one of the search conditions:
- Is;
- Is not.
Is is selected by default. - Open the drop-down menu in the third field of the search bar and select the file types you want to find:
- Microsoft Word;
- Open Document;
- PDF format;
- RTF format;
- Text Document;
- File (for all other formats);
- E-mail. - The system will display matching results automatically.
- If the required file is not found, you can refine the search query by creating a more complex search condition. To do this, click the Add Search Condition button, select the AND or OR parameters and additional search filters.
6.1.5 Search by file properties
- Open Search.
- Click on the first field in the search bar and select the File Properties filter from the drop-down menu.
- In the second field, select one of the additional filters:
- Manager;
- Authors (names of users tagged as document authors);
- Date of creation;
- Title;
- Document subject;
- Comment;
- Changed by (the last user who edited the document);
- Date of change (last modification date);
- Labels (document tags);
- Class (document category);
- Organization (company);
- Keywords. - In the third field, select one of the search conditions. These parameters change depending on your selection in the second field (additional filter).
For Manager, Authors, Title, Document subject, Comment, Changed by, Labels, Class, Organization, Keywords there are the following conditions:
- Contains;
- Does not contain.
For the Date of creation, Date of change filters:
- Is;
- Is not;
- After;
- Before;
- In the range;
- Out of range.

- Number of pages;
- Number of paragraphs;
- Number of words;
- Number of tables;
- Number of images. - Click on the third field and select one of the following search conditions from the drop-down menu:
- Is;
- Is not;
- After;
- Before;
- In the range;
- Out of range.
Is is selected by default. - Enter your search query in the search bar.
- The system will display matching results automatically.
- If the required file is not found, you can refine the search query by creating a more complex search term. To do this, click the «Add Search Condition» button, select the «AND» or «OR» parameters and additional search filters.
6.1.7 Search by email properties
- Open Search.
- Click on the first field of the search bar and select Email Properties from the drop-down menu.
- In the second field, select one of the additional filters:
- Date of sending;
- Date of receiving;
- From (the sender's email address);
- To (the recipients' addresses, comma separated);
- Bcc (the Bcc recipients' addresses, comma separated);
- Email subject;
- Number of attachments. - Select a search condition in the third field. These parameters change depending on the selected additional filters.
For From, To, Bcc, Email subject filters, there are the following conditions:
- Contains;
- Does not contain.
For the Date of sending, Date of receiving, Number of attachments:
- Is;
- Is not;
- After;
- Before;
- In the range;
- Out of range.

6.1.8 Search by user metadata
- Open Search.
- Click on the first field in the search bar and select the User Metadata filter from the drop-down menu.
- Select one of the additional filters from the second field. These fields are created using your metadata.
- In the third field of the search bar, select one of the search conditions. These parameters vary depending on your selection in the second field (the additional filter).
For «Text» filters, the following conditions are available:
- Contains;
- Does not contain;
- Synonyms;
- Exact phrase;
- Case-sensitive.
For Email, File Name, Phone Number filters the following conditions are available:
- Is;
- Is not;
- Start with;
- End with;
- Contains;
- Does not contain.
For Date, Number the following conditions are available:
- Is;
- Is not;
- After;
- Before;
- In the range;
- Out of range. - Enter your search query in the search box.
- The system will display matching results automatically.
- If the required file is not found, you can refine the search query by creating a more complex search term. To do this, click the Add Search Condition button, select the AND or OR parameters and additional search filters.
6.1.9 Search by tags
- Open Search.
- Click on the first field in the search bar and select the Tag filter from the drop-down menu.
- Select one of the search conditions in the second field:
- Contains;
- Does not contain. - Select Synonyms to find files not only by the word you’ve entered, but also by its synonyms.
- Enter the tag you want to search for in the search box. If there is at least one matching result, the tag will appear in a popup window next to the search box. Click on it.
- The system will display matching results automatically.
- If the required file is not found, you can refine the search query by creating a more complex search term. To do this, click the Add Search Condition button, select the AND or OR parameters and additional search filters.
