4.1.1 Adding Gmail
Adding Gmail to Uploads
- Open Uploads.
- Click on the plus button in the bottom right corner and select Mail Services.
- A popup will appear next to Mail Services where you can select Gmail.
- The Connect to Gmail window will open.
- Click on the Connect button to add the source.
- Enter your Google account credentials.
- After the source has been added, the New Dataset from Gmail window will open and you'll see the Gmail was connected message.
Note: if it's impossible to connect to the source, you'll see the Service is unavailable message.
Adding Gmail via Profile
- Click on the ⋮ next to your name in the bottom left corner of the main menu and select Edit Profile.
- The Profile page will open. Scroll down until you see the Mail Services block.
- Click on the Connect button next to Gmail.
- The Connect to Gmail window will open.
- Click on the Connect button to add the source.
- Enter your Google account credentials.
- After the source has been added, the New Dataset from Gmail window will open and you'll see the Gmail was connected message.
- To continue working with the source and add a Dataset, go to the Uploads section.
Note: if it's impossible to connect to the source, you'll see the Service is unavailable message.
Synchronizing Gmail folders with the Dataset
- Connect the source to File.one.
- The New Dataset from Gmail window will open.
- Click in the Folders field and select the folders you want to upload to File.one from the drop-down menu.
- Configure the parameters for the created Dataset. Enter a title, set access privileges, and decide if email attachments will be uploaded to the system.
- Click on the Create button.
- The Dataset will be synchronized with the selected Gmail folders and it will appear in the Uploads section.
- You can change the Dataset settings any time. To do that, click on the ⋮ icon to the right of the Dataset in the Uploads section and select Settings. Edit the settings and click on the Save button to save the changes.
Note: when you sync files in File.one, a common Dataset is created for the external source, which contains the selected folders. When a new file is added to the external source's folder, the system adds it to the Dataset. When a file is edited, the system updates the file in the Dataset. When the file is deleted from the external source, the system deletes it from the Dataset.
Note: the system requests the latest version of the files from the connected external source at least every one hour. If the latest attempt to update the data from the external source folder is unsuccessful, the system will attempt to connect to the source daily.
Note: File.one doesn't perform synchronization if a user's account has been blocked. The synchronization will be renewed when the account is unblocked.
Cancelling the Dataset's synchronization with Gmail folders
- Add the source to File.one and configure Gmail's synchronization with the Dataset.
- To cancel the Dataset's synchronization with the external source folder, open Uploads and click on the ⋮ icon next to the Dataset's title.
- Select Stop Sync.
- Confirm or cancel your action.
Note: only the user who created the Dataset can cancel synchronization or delete the Dataset.
Note: the systems can't restore interrupted synchronizations. To continue uploading data from an external source to File.one, create a new Dataset.
Disconnecting Gmail
- Click on the ⋮ next to your name in the bottom left corner of the main menu and select Edit Profile.
- The Profile page will open. Scroll down until you see the Mail Services block.
- Click on the Disable button next to Gmail.
4. The source will be disconnected.
4.1.2 Adding MS Exchange
Adding Exchange to Uploads
- Open Uploads.
- Click on the plus button in the bottom right corner and select Mail Services.
- A popup will appear next to Mail Services where you can select Exchange.

2. Enter your Exchange email credentials in the relevant fields: email address, password, username, and URL.
3. Click on the «Connect» button.
4. After the source has been added, the «New Dataset from Exchange» window will open and you'll see the «Exchange was connected» message.
Note: if it's impossible to connect to the source, you'll see the «Service is unavailable» message.
